The Monthly Bookkeeping Checklist Every Business Owner Should Follow
Running a business gives you plenty to think about. Bookkeeping should not become the thing you keep putting off until tax time.
I recommend treating bookkeeping as a monthly routine, not a once-a-year chore. A little attention each month can help you catch errors, understand your numbers, and avoid the stress of trying to reconstruct months of transactions later.
Here is the monthly bookkeeping checklist I recommend for small business owners.
1. Reconcile Your Bank and Credit Card Accounts
Start with the basics.
Make sure the transactions recorded in your accounting software match your actual bank and credit card statements. This is one of the most important monthly bookkeeping tasks because it can uncover:
Missing transactions
Duplicate transactions
Incorrect amounts
Unrecorded fees
Transactions that were categorized incorrectly
If your accounts are not reconciled, your financial reports may not tell the whole story.
2. Review and Categorize Transactions
Go through your uncategorized transactions and make sure expenses and income are assigned to the right accounts.
For example, a software subscription, office expense, contractor payment, and bank fee should not all end up in the same category.

Before closing out the month, make sure all relevant transactions and documents have been entered and recorded.
If you use receipts, invoices, statements, or other supporting documents, keep them organized and accessible.
This is especially important for business owners who have multiple income sources, contractors, locations, or properties.
7. Review Your Cash Position
Your profit and your bank balance are not necessarily the same thing.
Take a quick look at how much cash is available and consider upcoming expenses, bills, payroll, loan payments, and other obligations.
A monthly review gives you a chance to spot potential cash-flow problems before they become urgent.
8. Keep Your Bookkeeping Consistent
The biggest benefit of a monthly bookkeeping routine is consistency.
You do not have to spend hours every week thinking about your books. But you do need a reliable process for keeping your financial records current.
If you are using QuickBooks Online, that might mean reconciling accounts, reviewing transactions, attaching documentation, and reviewing your financial reports every month.
